Key responsibilities for this role include:

  • Professionally answer incoming calls, adhering to a well-crafted script that outlines available options.
  • Skillfully transfer calls to our Australian team or route them to voicemail when appropriate.
  • Send messages to people via Salesforce.
  • Take detailed messages during calls that accurately capture caller information, reason for contact, urgency, and any specific details.
  • Ensure messages are clear and concise, eliminating the need for guesswork on the part of our team.
  • Maintain a friendly and positive demeanour while interacting with callers, leaving a positive impression of our company.
  • Collaborate with team members to relay messages accurately and promptly.
  • Perform ad-hoc or administrative tasks.

Successful candidates must have:

  • Fluent in English written and spoken language.
  • At least 1-2 years experience as a virtual assistant and administrator. Preference for Australian company experience.
  • Familiarity with using the Salesforce platform.
  • Expert in Excel (e.g. pivot tables, v-lookups, formulas), with strong data analysis and report writing abilities.
  • Deadline-driven, attention to detail and can prioritize. Evident through strong planning, organization and time management skills
  • Excellent communication and interpersonal skills to effectively convey complex information to a variety of clients.
